The Australia Indonesia Partnership for Justice Phase 3 (AIPJ3) is a five-year, A$63 million investment by the Australian Department of Foreign Affairs and Trade (DFAT) to work in partnership with the Government of Indonesia (GOI) to support advancement of its priority law and justice reforms. Building on previous phases, AIPJ3 will support partners to deliver activities against agreed policy priorities, while maintaining flexibility to respond to emerging needs and opportunities. The program focuses on seven policy priorities that are important to Australia and Indonesia: accountability and transparency, criminal justice reform, preventing violent extremism, transnational crime cooperation, commercial law, access to justice, and women’s leadership.

**The Role**
The objective of this assignment is to support AIPJ3 Finance team in preparing, validating, reconciling, and filing Bank Voucher Form (BVF) while strengthening the overall system to meet audit and compliance standards, during the transition from manual processes to the new automated system, expected to be operational by late April or early May 2026.

**About You**

**Roles and Responsibilities**

**The Finance Assistant will be responsible for the following tasks:**

1. **Bank Voucher Form (BVF) Preparation and Reconciliation**
- Prepare complete BVFs for November 2025 – April 2026.
- Verify all supporting documents (invoice, payment request, approvals, contracts, etc.).
- Ensure each BVF matches MYOB entries, including account codes, project codes, dates, and amounts.
- Flag inconsistencies and follow up with Finance staff for clarification or completion.
- Make necessary corrections once validated.
2. **Filing and Documentation Management**
- File, print and scan BVFs per transaction following Finance Department standards.
- Organize and archive BVFs into monthly folders in the Finance cabinet.
- Ensure consistency between physical files and digital records.
3. **Audit Readiness Support**
- Prepare a comprehensive list/index of all transactions in each monthly Finance folder.
- Document BVF numbers, vendor names, amounts, descriptions, and filing references.
- Identify missing paperwork and coordinate with Finance team to close gaps.
- Ensure folders are fully audit-ready, accessible, and complete.
4. **Quality Control and Reconciliation support**
- Cross-check MYOB payment entries with supporting documentation.
- Ensure compliance with financial policies, SOPs, and approval authority matrices.
- Support general cleanup and reorganization of the Finance cabinet for improved accessibility.
- Assist in updating the BVF Register for the covered period.
5. **Additional Financial Administration Support**
- Assist in printing, scanning and digitizing documents following naming standards.
- Support archiving of older financial files and segregation of current-years folders.
- Always maintain confidentiality and data integrity.
- Provide weekly status updates to the Finance Manager.
- Produce a final summary report outlining completed tasks, gaps addressed, and recommended improvements.

**Selection Criteria**

**Essential Experience and Knowledge:**

- A diploma’s degree or equivalent in accounting is required.
- A minimum of 2-3 years of experience in accounting or finance support roles.
- Experience preparing and reconciling for audit documentation.
- Knowledge of MYOB or similar accounting software preferred as well as Microsoft office.
- Strong attention to detail and high organizational skills.
- Ability to work with minimum supervision and in a multi-cultural environment.
- Fluent in written and spoken Bahasa Indonesia and English.
- This position is only eligible for host country nationals (Indonesian).

**Desirable**

- Experience working with international donor funded programs.
- Proven experience in supporting internal or external audit within international donor funded programs.
- Demonstrated ability to work effectively in a multicultural team environment while respecting diversity and inclusion.
- Proven capacity to perform under tight timelines in fast-paced, short-term operational setting.
