**Job Overview/Summary:**

The Senior Recruiting Associate plays a pivotal role in supporting the Global Recruitment team and collaborating with various stakeholders. This position involves managing administrative tasks, assisting with offer letter generation, overseeing intern onboarding, and coordinating vendor partnerships. As a liaison between recruiters, HR leaders, team members, and other departments, the Senior Recruiting Associate contributes to the smooth operation of the hiring process

**Job Overview/Summary:**

The Senior Recruiting Associate plays a pivotal role in supporting the Global Recruitment team and collaborating with various stakeholders. This position involves managing administrative tasks, assisting with offer letter generation, overseeing intern onboarding, and coordinating vendor partnerships. As a liaison between recruiters, HR leaders, team members, and other departments, the Senior Recruiting Associate contributes to the smooth operation of the hiring process and ensures effective communication and collaboration across the organization.

**Major Responsibilities:**

*Requisition Management*

- Open and post job requisitions on the company's ATS (Workday) and external job boards.
- Collaborate with Human Resources Partners, Hiring Managers, and Recruiters to verify the accuracy of requisition information before publication.
- Review job descriptions to ensure inclusive language aligned with organizational values.

*Internship Program Support*

- Assist the Human Resources Manager and Development and Volunteer Operations Officer in managing intern processing.
- Open and post internship requisitions in Workday and assign them to respective recruiters as needed.
- Process intern reference checks and review them before sending them to Hiring Managers/Supervisors.
- Generate and send offer letters to interns and initiate background checks.

*Administrative Support*

- Manage the Recruitment team credit card and regularly monitor the online banking system.
- Manage and process annual subscriptions.
- Collect receipts from the Recruitment team for expenses related to external postings, vendor subscriptions/memberships, etc.
- Create monthly Accounts Payable Vouchers, input expenses, and submit them to the Finance team for processing.
- In coordination with the other Senior RA, handle the monthly recruitment charge-backs.
- Collect necessary documents and share them with the Trade Vendor for setup in Emburse.

*Systems and Reporting*

- Become an expert in using the ATS (Workday) to guide recruiters, candidates, and hiring managers
- Collaborate with the HRIS team to understand system updates and communicate them to the user community.
- Work with the Workday Product Manager to provide effective support to in-country recruiting teams.

*Vendor Management*

- Manage vendor accounts and process invoices promptly.
- Collaborate with vendor partners, including LinkedIn, Indeed, and Impactpool, to understand their services, assign access licenses, and inform the recruitment team about available tools and sites.
- Request and analyze data from vendor partners to assess usage efficiency.

*Miscellaneous*

- Help maintain and build an intranet site with up-to-date and readily available materials.
- Handle the IRC recruiting mailbox, resolving and escalating messages as necessary.
- Provide backup support to other Recruiting Associates during their leave periods.
- Proactively suggest process improvements to enhance the team's efficiency and effectiveness.
- Assist with other recruitment team projects as assigned.

**Job Requirements:**

**Education:** Directly relevant work experience or undergraduate degree preferred; fluency in French, Arabic, or Spanish is a plus.

**Work Experience:** At least 3 years of stable administrative experience, preferably HR, supporting multiple people in a large corporate, global and professional environment.

**Work Environment:**

- Position based at our New York City headquarters with a hybrid work schedule
- Open to fully remote candidates located within the Eastern Time Zone

- Proficiency in MS Word, Excel, PowerPoint, Outlook, and email/internet.
- Demonstrated ability to handle sensitive and confidential information with exceptional judgment.

**Compensation: (***Pay Range: $26.00 - $33.00***)** Posted pay ranges apply to US-based candidates. Ranges are based on various factors including the labor market, job type, internal equity, and budget. Exact offers are calibrated by work location, individual candidate experience and skills relative to the defined job requirements.
