## **Job Purpose:**

To support the Programs Department in managing project-related human resources tasks, including staff follow-up, attendance tracking, documentation, and coordination with the HR and Finance teams to ensure the smooth implementation of project activities. In addition, sharing information and transferring knowledge to the personnel working for the project.

## **Duties & Responsibilities:**

**Staff Follow-up & Coordination**

- Follow up on project staff attendance and daily

## **Job Purpose:**

To support the Programs Department in managing project-related human resources tasks, including staff follow-up, attendance tracking, documentation, and coordination with the HR and Finance teams to ensure the smooth implementation of project activities. In addition, sharing information and transferring knowledge to the personnel working for the project.

## **Duties & Responsibilities:**

**Staff Follow-up & Coordination**

- Follow up on project staff attendance and daily engagement in coordination with field teams and unit managers.
- Act as a focal point between project staff, Programs Department, and HR Unit.
- Support onboarding of project staff (document collection, orientation coordination).

**Attendance & Payroll Support**

- Prepare and verify monthly attendance sheets in coordination with supervisors.
- Ensure completeness of staff documentation required for payroll processing.
- Coordinate with Finance and HR to ensure timely salary payments.

**Documentation & Compliance**

- Maintain updated HR files for all project staff (contracts, IDs, timesheets).
- Ensure compliance with internal policies and donor requirements (e.g., documentation, approvals).
- Support preparation of HR-related reports for donors and line-manager.

**Communication & Problem Solving**

- Respond to staff inquiries regarding contracts, attendance, and payments.
- Escalate HR-related issues (delays, complaints, inconsistencies) to the Project Manager and HR.
- Support conflict resolution in coordination with relevant departments.

## **Qualifications, Skills, and Experience**

- Bachelor’s / Associate degree in Business Administration, Human Resources, or related field
- 1–2 years of relevant experience.
- Ability to prepare documentation and executive reports.
- Strong organizational and follow-up skills.
- Good communication skills and ability to work within a team.
- Ability to handle confidential information.
- Good knowledge of Excel and cloud storages.
- Ability to work under pressure and manage multiple tasks.
